Job Description

We are seeking a warm, professional and organised **Medical Receptionist** to join our psychology and psychiatry clinic in Mount Eliza. This role is ideal for someone who enjoys supporting people, can manage a busy front desk, and takes pride in delivering exceptional client service. **Casual role: ~20-25 hours per week plus leave-cover shifts as required.**<br>**Key responsibilities include:**<br>- Welcoming clients and creating a calm, supportive environment<br>- Managing appointments, cancellations and waitlists<br>- Answering phones and responding to enquiries<br>- Processing payments, Medicare claims and referrals<br>- Supporting clinicians with daily administrative needs<br>- Maintaining accurate client records and ensuring confidentiality<br>- General reception duties including email management and file preparation<br><br>

Essential selection criteria

- Demonstrated experience in medical or allied health reception **OR** strong administrative experience with the ability to learn medical systems quickly<br>- Excellent communication skills with a warm, professional and compassionate manner<br>- Ability to manage competing priorities in a fast-paced environment<br>- Strong attention to detail and high accuracy in data entry and record-keeping<br>- Confident using practice software, including **Genie, Gentu, Best Practice or similar**, or willingness to learn quickly<br>- Ability to maintain client confidentiality and follow clinic procedures<br>- Reliable, punctual and able to work independently as well as part of a team<br>- Strong problem-solving skills and a proactive approach to supporting clients and clinicians<br><br>

Desirable selection criteria

- Previous experience working in a psychology, psychiatry or other mental health setting<br>- Familiarity with Medicare item numbers, referrals, and processing rebates<br>- Experience using **Genie, Gentu or other specialist practice management software**<br>- Understanding of privacy requirements and sensitivity when supporting clients with mental health needs<br>- Ability to manage complex appointment schedules, cancellations and waitlists<br>- Strong customer service background with a focus on creating a welcoming environment<br>- Experience working in a multidisciplinary team environment<br>- Ability to adapt to changes and maintain calm, professional communication during busy periods<br>- Interest in developing administrative skills and growing within the clinic<br><br>
